Are you building an impressive collection of portable software tools that require no installation? Now you can add the latest version of Mikogo’s portable version to your collection and start meetings directly from your USB stick.

The benefit of this is that you can carry your Mikogo software on your USB drive and start meetings from your work computer and later start meetings from home or other computers. No need to install the software.

How to get the portable version:

Simply download it and save it to your USB drive. You’ll then have “Mikogo-Portable” with the icon on your portable stick. Double-click on it, Mikogo will instantly start and the little icon will appear in your system tray. Click on the icon, select “Start Meeting” and enter your user details. Click OK, and the meeting will begin – Simple!

And now you can share any content on your screen (i.e. your desktop, word documents, spreadsheets, slides, pictures, web pages, etc…) with your meeting participants.

Also, your user details (username & password) will be saved so there is no need to re-enter your details when you start a meeting from another computer. Next time you open your USB drive, open Mikogo, and select “Start Meeting”, the meeting will simply begin.

Enjoy!

In this blog post we’d like to provide a little insight for the Mikogo Community on how to use the Mikogo Meeting Scheduler, and how to organize and get the best from your free online meetings.

Opening the Scheduler
The first thing to note, is that you can open your Scheduler before you start a meeting or during a meeting. Click on the M icon in the system tray and select “Scheduler”:

The Scheduler then opens, and in this case you can see that I have already scheduled 2 meetings:
(Click on image to enlarge and view it)

To Start a Scheduled Meeting
In order for a scheduled meeting to start, you have to open your Scheduler and click “Start”. Meetings will not begin automatically simply because the scheduled time and date has been reached – this is for security reasons.
To start a scheduled meeting, click on the meeting so it is highlighted in blue and then click “Start”.

The meeting will begin and you will receive the Meeting Info window containing the exact same ID as assigned in the Scheduler i.e. 524-644-209

Once you have started the meeting, the meeting will be highlighted in green in your Scheduler indicating that the meeting is now in progress:

IMPORTANT POINTS TO NOTE:
1. Start the same meeting at any time:
Please note that you do not have to start the meeting at the exact time that was scheduled. In this case the meeting was originally scheduled for 6th Feb 2009 at 11:30am. However if I wish I can start the same meeting at any time and day I wish e.g. today Wednesday 18th March 2009

2. Meeting ID will always be the same:
For any scheduled meeting, the same meeting ID will always be saved in my scheduler and I can start this meeting with this ID at any time I wish. This allows me to save multiple meeting IDs and send them in advance to my meeting participants. So I can start this particular meeting whenever I wish and I will always receive this ID, 524-644-209.

Scheduling a New Meeting
To add a new scheduled meeting, click on “New”. The window, seen below, opens and you can then set the following:

Topic

Start (including date, time and time zone)

Expected Duration

Recurrence Pattern

Your Name

Meeting Password (only if you wish to set a password for the meeting)

Conference Call Information
If you intend to use the Mikogo Voice Conferencing service, tick the checkbox as in the image above. This will simply include the call conference info in your scheduled meeting details, which you can later send to your participants. You can later choose if you actually wish to have a conference call with your participants or not. Ticking the checkbox just means you opt to send your participants this info.

If you wish to send your participants info for another conferencing service, you can do so by checking “Use Own Conference Call Service”. This will then allow you to type in the white text box below and provide the information on your conference call service that your participants will require.
Tick the disk icon under the text box to save this info for later needs.

If you wish to receive an email shortly before your scheduled meeting to remind you, tick “Remind Me” and enter your email address in the field.

When you have filled out all the fields you require, click “Save”. You will then see your Scheduler again containing the new scheduled meeting.

Starting Today’s Meeting
Come the day of a scheduled meeting, in this case today is Wednesday, the meeting scheduled for the day will be highlighted in orange. When it comes to the scheduled time, click on the meeting and click “Start”. You will then receive the Meeting Info Window with the appropriate meeting ID.

Sending the Meeting Info to Participants
From the image above you can see a few buttons at the bottom of the Scheduler. Click on your meeting of choice, and then click “Email Invitation”. Alternatively you can click on “Copy Invitation” and then paste the info into a new email. This will contain all the info that you included when you made the new scheduled meeting. Then email it to your participants.
Of course you can do this days before the meeting begins and notify your participants of the upcoming meeting.

Participants Joining a Meeting
Say for example, yesterday you emailed your participants the info for today’s meeting. A couple of minutes before you start the meeting, a participant goes to www.mikogo.com, clicks on “Join Meeting” and enters the meeting ID. In this case, the participant will arrive in the waiting room until you start the meeting:

A couple of minutes later when you do in fact start the meeting, the participants who are in the waiting room will instantly be joined to the meeting.

Last week we sent out a quick questionnaire on the newly released Mikogo version 2.0. The response was huge! So many emails from people who wanted to share their opinions and experiences on the new version thus far by praising the Mikogo Team on the new software, as well as others who needed to urgently report a problem with their upgrade to the new version.

While there have been a few reported issues with the upgrade process (such as the Win2000 error), all in all the feedback on the new software was really positive. So we just wanted to say thanks for all those compliments.

For those who reported an issue when upgrading and using Mikogo v2.0, we really appreciate the details that you sent along with screenshots. We have looked into these issues and have been working hard to fix them in order to release an updated version of Mikogo that will solve these problems. We appreciate you taking the time to assist us here, and for your continual support of our free desktop sharing tool.

Furthermore, the two questions, “What features would you like to see added?” and “If you were a part of the Mikogo Team, what would you change?” received a lot of great suggestions and comments. Thanks a lot for all that – some suggestions received a lot of support from many Mikogo users. So we will definitely use this feedback when fine-tuning Mikogo in the future.

Btw, there were several feedback emails from users asking how they can retrieve their password. For future needs or anyone who is just about to upgrade for the first time and who may need this, you can retrieve your password from here: Reset Password

That’s it for now. Stay tuned for further news on Mikogo v2.0

Today I would like to give you a quick tour through our new meeting recording and playback feature.

To start recording your meeting just click on the “M” icon, move your mouse to “Recording” and click “Start”.

If this is the first time you have recorded a meeting, you will be asked where you want the recording to be saved. We suggest that you save the recordings under My Documents/Mikogo/records, but you can of course select your preferred folder. Keep in mind that after selecting your preferred location Mikogo will automatically save your future recordings to this location.

If you later wish to change the location please go into the Mikogo settings and select the “Start Options” tab where you can select a different location for your recordings.

When you are recording a meeting a red circle will show up in the Mikogo menu, which indicates that you are currently recording your meeting. During the recording you have the following options:

Pause – Recording will be paused and can be resumed at any time. If you paused the recording a blue icon will be shown in the Mikogo menu

Stop – Recording will be stopped and saved in your chosen location (see above).

Cancel – Recording will be stopped but not saved

It’s important to note that recorded meetings can only be played back with the Mikogo Meeting Player. The Meeting Player is located in the Mikogo program folder. Alternatively the Meeting Player can be downloaded separately.

To playback a recorded meeting, click on the folder icon in order to select the recorded meeting.

When you open a recorded meeting for the first time an “Index missing” window will pop-up and asks you to index the recorded meeting. Indexing allows you to jump back and forth randomly to different positions in the recording during playback.

After indexing the recording you can playback and watch your meeting.

The Meeting Player control panel gives you the following options during playback:

From left to right:

Open recorded session

Stop playback

Play/Pause playback

Decrease playback speed

Increase playback speed

Rewind 2 seconds

Forward 2 seconds

Automatic zoom

Maximize playback window

And finally, a few extra details about the free Mikogo meeting recordings

Meetings are recorded in a proprietary file format (.bs4) and can just be played back with the Mikogo Meeting Player. Exporting the recorded meeting into a different file format is not supported.

There needs to be at least one participant in your Mikogo meeting to record the meeting. If you don’t have any participants in your meeting, you can still click on “Start” recording but Mikogo will not record your screen.

Only your screen will be recorded. Audio is not supported.

Now you have a great way to keep track and record your free Mikogo meetings.

Enjoy your weekend!

NEWS: Mikogo v2.0.1 is here and ready for download!

To gain access to the new Mikogo software tomorrow, we recommend our users do the following:

1. Uninstall Previous Mikogo Version

Uninstall Mikogo by opening the Start Menu and locating under Mikogo from within Programs.

On Vista, this will prompt a User Account Control window informing you that uninstall.exe is about to run. Please select “Allow”.
A window will then pop-up asking you to confirm the uninstallation. Click “Yes” and the “Uninstallation completed successfully” window will appear.

3. Start a Meeting with Version 2.0.1
Click on the M icon in your system tray and select “Start Meeting”. As this is your first meeting, this will open the Mikogo Settings window.

Enter your username (i.e. registered email address), your password and your name in the settings. This info will be saved for your future meetings.

To make life easy, there is no need to register a new account. Your current account will work perfectly on the new software. If you have forgotten your password, please click here for a new password.

Click Ok, and the meeting will begin. A notification window above the M icon, as well as the Meeting Info window, with the current meeting ID.

Distribute the 9-digit ID to your meeting participants for them to join your free screen sharing.

If you accidentally enter the incorrect details (username or password), you can click on the M icon in the system tray, and select Settings to re-enter your details. If this happens, it is important that you clear out all fields in the settings and then re-enter the user details.

Note: both the meeting organizer as well as the participants will need to update. Participants can receive the new participant program here or by clicking on the “Join Meeting” link on the Mikogo homepage.

Test your Mikogo connection: if you would like to check whether you have properly upgraded and installed the new version, try the following:

Click on the M icon in your system tray

Select “Join Meeting”

Enter meeting ID: 000-000-000

This will connect you to a continual meeting which is a slide show and confirms that you are successfully connected. If you see this, then you have upgraded perfectly and are ready to begin!
